What is n8n and why use it over Zapier?
n8n is a source-available workflow automation platform you can self-host or run in n8n cloud. It matters for small businesses because it has no per-task pricing: a workflow that runs 50,000 times a month costs the same as one that runs 50 times. Zapier is faster to start with, but multi-branch logic, custom code steps, and AI API calls are all first-class in n8n rather than premium add-ons. What kinds of n8n workflows do I build?
Most of my n8n work falls into four categories: lead capture and routing (webhooks from landing pages into your CRM, tagged by source), CRM-to-CRM sync (for example GoHighLevel contacts into Clio Grow), AI-powered classification and intake (Claude API calls that read a message and decide what happens next), and document workflows (finding files, sending faxes and e-signature requests, chasing signatures automatically). How much does n8n automation cost?
Two costs matter: the platform and the build. n8n cloud starts around €24/month, and self-hosting can run on a $10–20/month server with unlimited executions. For the build, I work on a monthly retainer rather than hourly or per-project billing, starting at $2,000/month and scaling with how many workflows you need built and maintained. That covers new builds, fixes, and changes for the month, so you are not negotiating a new quote every time something needs to change.
Can n8n run AI agents and call Claude or GPT?
Yes: this is where n8n outperforms simpler tools. n8n has native AI nodes and plain HTTP nodes for calling Claude, GPT, or any model API mid-workflow, so a workflow can read an inbound message, classify it, draft a response, and route it, all in one run. I have built AI lead-detection workflows that read social media messages and flag genuine prospects, and AI voice follow-up systems that place calls through Retell AI.

- Do you work with n8n cloud or self-hosted n8n?
- Both. n8n cloud is the fastest way to start and includes maintenance. Self-hosting costs less at high volume and keeps data on your infrastructure; I can set up and secure a self-hosted instance for you.
- Can you fix or extend an existing n8n workflow?
- Yes. A large share of my work is repairing workflows that stopped working after an API change, or extending workflows someone else built. Send me the workflow export and I will quote the fix.
- How long does an n8n project take?
- Single-purpose workflows are typically delivered in 2–5 days. Multi-system builds with AI steps, error handling, and testing usually take 1–3 weeks depending on how many external systems are involved.
- Will I be locked in to you for maintenance?
- No. Every build ships with documentation and a handover walkthrough. Ongoing maintenance is available but optional; the goal is that your team owns the system.
